TITLE: Estate Manager

POSITION DESCRIPTION:

Seeking an experienced manager to oversee day to day household operations for SF residence(s). The Manager will be responsible for acting on behalf of the Principal(s) for all matters concerning residential property management, staff, travel, security and construction management. This is a family that appreciates attention to detail.

Family is in a time of growth and acquiring more properties by purchase and build. Estate Manager will work in close cooperation with the Chief of Staff to maintain work life balance, as projects will require various amounts of time.

RESPONSIBILITIES:

· Seamlessly run multiple properties to minimize impact on Principal(s) and act as point person on daily estate functions

· Act as day-to-day supportive manager and supervisor for all household staff (6-10) to ensure they thrive. Activities to include scheduling, recruitment, onboarding, benefits and compensation, periodic and annual reviews.

· Coordinate closely with Principal(s)’ family office to ensure comprehensive service delivery

· Walk properties regularly to ensure households are running with ease

· Working knowledge of physical house systems including smart home systems, HVAC, electrical, plumbing, and internet.

· Work with Principal(s) and staff to develop, train and maintain household best practices

· Oversee property security, including monitoring services, cameras and other security systems

· Build familiarity with home security operations/personal protection and liaise with key parties appropriately. Respond to security related issues 24/7.

· Provide management, direction, supervision, and coordination of construction activities

· Oversee and develop budgets for operations, projects and capital expenditures as directed by Chief of Staff

· Track petty cash and household expenditures, reconcile credit cards for all staff monthly in Ramp

· Promote and ensure privacy and confidentiality in all matters

· Plan, oversee and run events as needed

· General hours are M-F 9am-5:30pm, must respond to calls after hours as needed. Homes are all in the SF Bay Area at present.

· As much as possible, coordinate days off with Chief of Staff, so one of you is always available to the family.

QUALIFICATIONS

· Minimum 10+ years managing operations and teams to perform at their best

· Preference for 10+ years of experience working in a private home with an emphasis on managing

staff, service, and multi-faceted estates.

· Ability to work autonomously and make executive level decisions

· Ability and willingness to act in the best interests of the Principal(s). Proven ability to be discreet.

· Proven ability as a creative problem solver to identify opportunities in process and create systems and protocols for efficiency and consistency.

· Effective communicator, committed to candor and no gossip.

· Highly organized with the ability to manage multiple tasks, strategically prioritize them, and analyze risks and opportunities. Preference for candidates who are able to leverage technology solutions to this end.

· Ability to recognize preferences and expectations of principal(s) and communicate effectively

· Proficient in modern technology environments including knowledge of or willingness to learn: Google Suite, Google Calendar, Drop Box, Asana, LastPass, Expensify, Alarm.com

· Ability to work remotely as needed.

· Able to work legally in the U.S., valid unrestricted driver’s license, and clean driving record not to include major accidents or infractions

· Regularly required to stand, walk, use hands to manipulate, handle or feel, reach with hands and arms, talk and hear.

· Regularly required to operate a vehicle.

· Occasionally required to climb, balance, stoop, kneel, crouch, crawl, and smell.

· Regularly required to remain in a stationary position for long period of time, ascend, and descend stairs.

· Occasionally lift, transport, and/or move objects weighing up to 25 pounds.
