POSITION TITLE: Medical Back Office Manager-CCMA

STATUS: EXEMPT-Full Time

LOCATION: Angels Camp, California

STARTING SALARY: $71,157.00-$84,906.00 Annually

POSITION SUMMARY:

As a member of the health care team, the incumbent serves as a manager of our clinical (back office) support staff while performing nursing duties for the care of patients (ambulatory care and emergency cases) within the scope of their license. The incumbent will ensure effective communication occurs between the front office (reception) and the back office. The successful candidate will abide by all departmental manuals, standards of practice, and other established protocols. The incumbent will also be responsible for training and implementation of program administration manuals, contract compliance requirements for specific services, nursing practice regulations and other pertinent information as assigned by the Operations Director or Medical Director. Employee must work in a positive and respectful manner with fellow employees.

Requires an awareness and keen appreciation of Indian traditions, customs and socioeconomic needs; an ability to meet and deal effectively with Indian Health Organizations, consisting of numerous tribes with varied cultures which requires tact, courtesy, discretion, resourcefulness, and good judgment in handling functions of a sensitive nature.

PRIMARY RESPONSIBILITIES:

  1. Under the direction of the Medical Director, Back Office Manager is responsible for orientation, training, and competency assessment of the medical support staff. Incumbent will provide technical and professional support to the Lead Medical Assistants and entire care team, ensuring effective and efficient patient flow through the clinic.
  2. Provide leadership to medical support staff to: (1) ensure licensed and certified staff are functioning within their scope of practice; and (2) promote staff working at the top of their license/certification.
  3. In the absence of full staffing, the Back Office Manager will assist medical providers in the treatment of patients, as needed to include but not limited to ambulatory care procedures, e.g. pelvic exams, suturing lacerations, vision, and hearing tests.
  4. Perform patient care as directed by the medical provider, and according to organization protocols.
  5. Perform basic lab tests as outlined in the Laboratory Services Manual.
  6. Ensure referrals for outside medical services are done in a timely manner at each site and train Medical Assistants to assist with scheduling patient referrals.
  7. Address emergency situations in a controlled and professional manner.
  8. Complete other nursing tasks as assigned by Site Manager or medical provider.
  9. Train Lead Medical Assistants to have primary responsibility in assuring efficient patient flow during daily operation.
  10. Ensure constant, professional and effective communication is occurring with front office (reception).
  11. Direct and perform other back office duties as necessary.
  12. Assist provider with appropriate paperwork (CHDP forms, referrals, PPC forms, etc.) for each patient chart.
  13. Train and support Medical Assistants as necessary to chart medical reports and records, so that this information is available to the provider.
  14. Actively participate in the Medical Department's Performance Improvement activities.
  15. Keep all tracking systems up-to-date.
  16. Complete other administrative tasks as assigned by the Medical Director, and Executive Director.
  17. Train and ensure ongoing clinical competency of medical support staff.
  18. Ensure all back office staff has completed EHR training, and can comfortably navigate the system.
  19. Provide oversight of Lead MA in the VFC Program.
  1. Act as the secondary Health and Safety Designee
  2. Assist with health plan audits, accreditation surveys, and other onsite assessments, as directed by the Compliance Officer
  3. Comply with all MACT policies and procedures.

MINIMUM QUALIFICATIONS:

  1. Current California Certified Medical Assistant with 5 years clinical management experience.
  2. Current BLS AHA CPR certification.
  3. Excellent communication skills: both oral and written.
  4. Availability to work with a variable schedule.
  5. Ability to travel to all sites.

MANDATORY REQUIREMENTS:

  1. Must pass Occupational Health Screening.
  2. Must possess a valid form of identification as listed on the U.S. Department of Justice I-9 form, verified using the E Verify system.
  1. Clean DMV driving record and MACT auto insurance driving eligibility (determined by auto insurance carrier).
  1. Must adhere to the MACT Health Board, Inc. Corporate Code of Conduct.
  2. Responsible for compliance of all State/Federal and outside agencies regulations.
  3. Adhere to protocols and scope of practice for appropriate licensure.

DESIRED ABILITIES:

  1. Commitment to improve the health status of Indian people.
  2. Supervisory experience in ambulatory clinic will vary with licensure.
  3. Familiarity with Electronic Health Records (NextGen) and Chronic Disease Management Software (I2I) desirable.
