Job Description
Position Summary The Human Resources Assistant provides administrative and clerical support to the HR Department. This position is responsible for maintaining employee records, assisting with recruitment and onboarding, and supporting daily HR operations. The HR Assistant ensures all documentation is organized, accurate, and compliant, while maintaining confidentiality and professionalism in all interactions.
The ideal candidate demonstrates strong attention to detail and organizational skills, with the ability to work efficiently in a fast-paced environment. This role also includes a significant focus on document management, including scanning, filing, and organizing electronic and physical records.
Responsibilities and Duties: Administrative & Clerical Support
- Maintain accurate and up-to-date human resource files, records, and documentation
- Ensure the integrity and confidentiality of HR records
- Provide administrative support to the HR departments, including data entry, filing, scanning, and document management
- Perform periodic audits of personnel files and systems to ensure all required documents are collected, accurate, and filed appropriately
- Assist with HR projects and reporting, compiling data from various systems as requested
Employee Support
- Respond to routine HR-related questions and requests from employees in a timely and professional manner
- Assist in maintaining accurate information in HR systems, including employee changes and updates
- Collaborate with the HR team on employee engagement, compliance, and administrative initiatives
Compliance & Recordkeeping
- Maintain compliance with company policies and employment law requirements regarding documentation and record retention
- Assist with audits and reporting related to payroll, HR, and benefits compliance
- Ensure accurate and organized filing of confidential and sensitive materials
Safety & Compliance Support
- Provide administrative support to the Safety & Compliance Department as needed
- Assist with documentation, tracking, and filing of safety training records, certifications, and compliance reports
- Help prepare and maintain OSHA logs, safety meeting minutes, and incident documentation
- Support coordination of safety communications, audits, and employee compliance tracking
- Ensure that all safety and compliance documentation is accurately maintained and readily available for inspection or reporting
Other Duties
- Perform other duties or special projects as assigned to support the HR and Payroll functions
Education and Work Experience - High school diploma or equivalent required; associate or bachelor's degree in Human Resources or related field preferred
- 1 or more years of experience in human resources or administrative support preferred
- Knowledge of ADP Workforce Now or other HRIS systems preferred
- Basic understanding of employment laws, confidentiality standards, and HR best practices a plus
Skill Set - Excellent written and verbal communication skills
- Strong interpersonal skills with the ability to handle sensitive and confidential situations professionally
- Outstanding organizational skills and attention to detail
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Ability to manage multiple priorities with accuracy and efficiency
- Strong problem-solving and follow-up skills
- Professional demeanor with a positive, team-oriented attitude
