Job Summary

Responsible for providing administrative support to senior management and staff. Coordinates multiple projects; orchestrates meetings, researches agenda items, analyzes data and compiles reports. This individual will also be responsible for providing an efficient and professional office environment. Maintains necessary office supplies and ensures various equipment is properly configured, installed and maintained. Will be expected to perform administrative duties such as typing, processing mail, answering phones, stocking kitchen supplies and ordering lunch. Works with moderate supervision/guidance. Is accountable for individual results and impact on team.

Core Responsibilities

  • Screen telephone calls, visitors, and letters in a professional and courteous manner; answers routine questions and furnishes information.
  • Greet guests at the office entrance and assist with building security access.
  • Plan and coordinate the executive's calendar of events, schedules appointments, prepare detailed itineraries, arrange travel accommodations and process expense reports.
  • Responsible for coordinating and scheduling internal meetings and presentations, gathers and prepares necessary materials, equipment or other logistics
  • Ensures the office environment is well-maintained, including coordinating with landlord on maintenance and cleaning services.
  • Maintain all kitchen, office and pantry supplies.
  • Liaise with vendors and service providers to ensure smooth office operations.
  • Provides administrative and clerical support including correspondence, typing, filing, research and various projects.
  • Practices good judgment, discretion and confidentiality of sensitive information regarding department activities.
  • Creates intricate spreadsheets, Word documents and/or PowerPoint presentations.
  • Handles maintenance of all office equipment.
  • Regular, consistent and punctual attendance. Must be able to work nights and weekends, variable schedule(s) and overtime as necessary.
  • Other duties and responsibilities as assigned.
